How to Choose a Home Care Agency in Rugby: 9 Questions to Ask

Choosing a home care agency is one of the biggest decisions a family can make, and in my experience there is rarely a good reason to rush it. The wrong choice doesn’t just mean paying more — it can mean weeks of disruption for the person who needs care most.

Over the years of running our team here in Rugby, I’ve watched families shortlist three or four agencies, meet the carers, and change their minds at the last minute. Here are the nine questions I would ask if I were choosing a home care agency myself — and the kind of answer to listen for.

1. Are you CQC-registered — and what is your current rating?

Every agency providing care in England must be registered with the Care Quality Commission. Ask for the registration number (ours is 1-1933640460) and check it on the CQC register before you trust a single brochure. Ratings matter: ‘Good’ is the standard we hold ourselves to, and ‘Outstanding’ remains rare in home care. Be wary of any provider that can’t name its rating without a pause.

2. Which areas do you actually cover?

Some agencies say they serve ‘the whole of the Midlands’ and then send carers an hour’s drive from your front door — which usually means tired carers, late arrivals and high agency rates. Ask how many carers they have working in your specific area, and whether they can name a local team. If you’re in Rugby, Bilton or Hillmorton, a provider who knows the high street is a provider who will know your street.

3. How do you match carers to clients?

You’ll be spending hours with this person every week, so personality matters as much as skill. A good agency will sit down with you, understand the person’s history, humour and habits, and then match deliberately. If the answer is simply ‘we send whoever is on the rota’, keep looking.

4. What training do your carers receive?

Every carer should hold at least a Level 2 or 3 care qualification, but training shouldn’t stop there. Ask about dementia training, safeguarding, manual handling, and how often refresher training happens. Also ask what happens in the first week — a proper agency assigns a supervisor to the new placement, not just the carer.

5. What happens when my regular carer is absent?

Carers get sick, take holiday, sometimes leave. The quality of the answer here tells you a great deal. ‘We backfill from our local team’ is the answer you want — not ‘we’ll use an agency’ or ‘someone will just turn up’. Continuity is the number one reason families stay with us once care has started.

6. How do you manage medication?

Find out exactly what’s included: reminders, administration, blister packs, and how the agency works with the GP and the pharmacy. Home care agencies aren’t prescribers, but a competent one will have clear written procedures for handling medication. If the answer is vague, ask for the policy in writing.

7. How quickly can care start — and how flexible is it?

Emergencies don’t wait for contracts, so ask about the typical gap between assessment and the first visit. Equally important: how easily can hours be scaled up or down? A care plan that can’t bend with a bout of flu, a hospital stay or a recovery will be reviewed within a month.

8. How is care priced, and what’s included?

Hourly rates, flat fees, travel, night visits, bank holidays — ask for a written breakdown before you sign anything. The cheapest quote usually cuts corners somewhere: untrained carers, heavy agency cover, or shortened visits. Our home care cost guide walks through what the numbers actually mean.

9. How do you handle complaints?

Any agency will smile at this question. Ask for the written procedure, who leads the investigation (it shouldn’t be the carer in question), and the timescales they commit to.
